Time Entry Bulk Actions

Bulk calendar actions are a great way to make quick work of your scheduling. Keyboard Shortcuts are an important aspect of working with multiple time entries efficiently and we have a separate guide covering them.

Selecting Multiple Time Entries

To select only some of the time entries on the schedule, hold Shift and click on the time entries you'd like to select. If you'd like to select all visible time entries, you can use the keyboard shortcut ⌘ + A on macOS or Ctrl + A on Windows.

You can also select multiple ranges of time entries by setting a starting point using Cmd/Ctrl + click. Then hold Shift + click to select the desired range. At that point, you can then set another starting point using Cmd/Ctrl + click again.

On touch devices, tap the "Select" button at the top of the app. This will enable a multi-select mode where you can tap on the time entries you'd like to add or remove from the selection. Tap "Cancel" to deselect all.

Selected time entries will have a blue border to indicate their status as selected.

Bulk Actions Toolbar

Once you've selected time entries, the bulk actions toolbar will be shown across the bottom of the screen. The number of time entries selected will be shown as well as buttons for creating a template, copying time entries, moving time entries, rolling over unused time, setting a project, setting labels, completing time entries, and deleting time entries. Clicking the  on the right side of the toolbar or using the ESC key will deselect the time entries and close the bulk actions toolbar.

Hovering over each button will reveal a tooltip describing the bulk action it provides.

Create a Template

Templates are a good way to speed up your workflow when creating common time entries. Select the time entries, set a name for the template, select if it is private to you or shared with others in your workspace, and if you’d like, organize it in a folder. Then you can apply this template to any dates in the future to quickly generate duplicates of those time entries. More details are available in the templates guide.

Copy Time Entries

Select "Copy" from the bulk actions toolbar and pick the date you would like to copy the time entries to. Copied time entries will have the logged time reset to zero. Copied time entries will be associated with the same task as the source time entry. If you are copying time entries from multiple days, then select the paste method:

  • Paste time entries on the same date: This will copy all tasks to the same date, even if they were originally on separate days on the calendar.
  • Preserve time between time entries: This will maintain the time between the tasks. For example, if you coped two tasks, one from Monday and one from Wednesday, and then pasted them on Tuesday with this option selected, the task from Monday would be copied to Tuesday and the task from Wednesday would be copied to Thursday.

Move Time Entries

Select "Move" from the bulk actions toolbar and pick the date you would like to move the selected time entries to. All time entries will be moved to the same date and added to the bottom of the task list in the order that they appear in the calendar.

Roll Over Time Entries

To roll over unused time from time entries, select "Rollover" from the bulk actions toolbar and pick the date you'd like to roll the time entries over to. This should be a future date since you won't be able to run timers on a past date to ensure reporting is accurate. This is similar to copying tasks, but it will also reduce the scheduled time to account for any time logged on the original task.

Set a Project

To set the same project on multiple time entries, select "Set project" from the bulk actions toolbar and choose the project. This will overwrite any project selection that previously existed on the tasks. Select the “No project” option if you’d like to remove any projects assigned to the selected time entries.

Set Labels

To add labels to multiple tasks, select "Set labels" from the bulk actions toolbar and choose the label(s) you'd like to add. Existing labels on the tasks will remain. Select the “Remove selected labels from task” checkbox if you’d like to remove rather than add labels.

Complete Time Entries

To complete multiple timers, select "Complete" from the bulk actions toolbar. If a time entry’s logged time is empty, then it will be set to the scheduled time. Otherwise, the logged time will be the final time on the time entry.

Delete Time Entries

To delete multiple time entries, select " Delete" from the bulk actions toolbar. After confirmation, this will fully delete the time entries, removing them from the calendar as well as reports. It is not possible to recover deleted time entries, so be careful with bulk deletions!

Multi-Drag to Move or Copy Time Entries

Instead of using the move or copy buttons in the bulk actions toolbar, you can drag your selected time entries to move them all to a new date, or hold Alt when dragging them to create copies instead. The new time entries will be associated with the same task as the source time entry.

Time entries will be ordered from oldest to newest date and from first to last position within each date; the order in which you select them does not matter.
