HubSpot Integration

The HourStack HubSpot integration allows your team to schedule and track time from the tasks they’re already working on in HubSpot — which means no duplicating tasks, interrupted workflows, or jumping back and forth between applications.

You can connect or disconnect integrations anytime through your account settings. All integrations are scoped to you personally, meaning that nobody else on your team can access your integration connection or data. You'll have access to your HubSpot integration across all of your workspaces.

Connecting the Integration

To connect your HubSpot account, navigate to your account settings and find HubSpot under the available integrations and click "Connect". This will take you to HubSpot to log in to the account you'd like to connect to and to authorize the HourStack app to access your HubSpot account data. Once you've authorized the HourStack app, the integration will be connected and you can start using it immediately from your calendar.

On your account settings page, click the "Manage" link next to your connected HubSpot integration to manage the settings.

  • Automatically complete tasks Turn this setting on if you'd like for source HubSpot tasks to be completed in HubSpot automatically when you complete the corresponding task in HourStack

Integration Configuration

Filtering and sorting selections you make within the integration will automatically be saved to your integration configuration so that each time you open the integration, it will be in the state you last left it, even across browsers or devices.

A Note About Tasks

HubSpot is developing a new API currently that will give us access to filter and sort tasks so that we can have much better task data available for this integration. Until then, the best we can do is pull "recent" tasks from their API. Please note though, that a recent task is any task that has been created or modified on HubSpot in the last 30 days. If you create tasks further out than that, they won't show up in the integration unless they were modified in the last 30 days. We understand this isn't ideal, but as soon as the new HubSpot "Engagements" API is available we'll switch to it and ensure you have all your tasks available and easily accessible via the integration as we do with Asana, Trello, Todoist, etc.

Filtering and Sorting Tasks

You can filter your HubSpot tasks by company, owner, or type. Type is either call, email, or todo. Tasks can be sorted by name, priority, or due date and you can search tasks by name.

Creating Tasks in HourStack

You can use HubSpot tasks to create tasks in HourStack by dragging and dropping them onto the calendar, or by clicking on the HubSpot task and selecting "Schedule task" from the menu. Notes from the HubSpot task are automatically copied over to the HourStack task. Creating tasks from integrations requires the same permissions as creating tasks from scratch.

Note

To create tasks for yourself with this integration the My Tasks permission is required.

Note

To create tasks for other team members, the Other Tasks permission is required along with Other Teams if the member you are wanting to create tasks for belongs to a different team than you.

Accessing the Original HubSpot Task

Tasks in HourStack created from HubSpot tasks will remain linked. Content changes will not be synced between HourStack and HubSpot, but from within HourStack you'll be able to directly access the HubSpot task from the task by clicking the HubSpot icon, or the options dropdown when editing the task.

Manually Completing HubSpot Tasks from HourStack

There are a couple of options for manually completing HubSpot tasks from within HourStack. For automatic completion of tasks when a task is completed in HourStack, see the integration settings section above.

  1. From the integration sidebar, click the task and select "Complete in HubSpot".
  2. From the task itself, click the options menu and click "Complete in HubSpot".

Disconnecting the Integration

To disconnect your HubSpot integration, navigate to your account settings and click the "Manage" link next to your connected HubSpot integration. Click the "Disconnect" button and confirm you'd like to disconnect the integration. This will disconnect the integration from the HourStack side. To fully disconnect the integration you'll need to uninstall HourStack under profile > integrations > connected apps in HubSpot as well.

Uninstalling on the HubSpot side is required if you want to switch to integrating with a different HubSpot account.

Integrating with HubSpot via the HourStack Browser Extension
